How to Keep Current With Microsoft Outlook Updates

Even though Microsoft Office Outlook is a mature product, Microsoft continues to send out a stream of important updates. While potentially a pain in the neck, this is actually good news since it tells you that Microsoft is actively supporting Outlook by fixing bugs and protecting you against spam (junk email). Two Great Reasons to Compact Outlook Data Files

You're probably wondering, "What does it mean to compact Outlook data files, and why should I do it?" Let me explain.

Unless all your stuff lives on an Exchange server somewhere, your Outlook data is stored on your hard drive in one or more personal folders files, usually called .pst files The .pst refers to the file extension assigned to these kinds of files.

To recap, every Outlook data item (email message, task, contact, etc.) occupies space in a .pst file. So far so good.

Let's talk about what happens when you delete an Outlook item. First, the item appears in the Deleted Items folder, where it continues to take up space in the .pst file. If you've ever looked in Deleted Items, it is like a holding area for unwanted items. They're still available there and you can recover them if you wish.

When you empty the Deleted Items folder, anything in it is permanently gone. It can't be recovered. Emptying the Deleted Items folder removes the items in the folder, and also removes them from the .pst file. But things are not quite as they seem. While the item is no longer available in Deleted Items or the .pst file, the space it occupied in the .pst file remains tied up. Because of the way .pst files work, the space occupied by deleted items remains unavailable. So your .pst files just keep growing in size, no matter what you do.

Ever-growing .pst files cause two problems. First, they tie up an ever-growing chunk of your hard disk space. If you have lots of disk space available, that may not be an issue right now, but it will eventually become one, if for no other reason than that Outlook has limits on the size of .pst files it will work with.

The second problem is that the larger the .pst file is, the slower Outlook works. And that only makes sense. As Outlook has to sift through an ever-larger file to find the items it needs, it takes longer to get things done. That's why you need to compact Outlook data files every so often.

How Often Do I Need To Compact My Outlook Data Files?

How often you should compact files is an inexact science. If you feel that Outlook is running slowly, you should try compacting the files to see if it clears up the problem. Unless you are having problems, such as Outlook running very slow, or you really need to free up disk space, you should try to compact Outlook .pst files once or twice a year. It's not hard to do. It's a simple 4 step (for Outlook 2003) or 5 step (for Outlook 2007) process that anyone can do.

Let me tell you my own story that led me to do my own search for the best remote access software out there. About three years ago my wife gave birth to our second child. I work from home, and the only extra room in the house happened to be my home office.

So as you can probably guess, the new baby kind of took over my office space, and by extension, also took over my main desktop computer. Now normally this would not have been a problem, since we also have two laptops in the house. But what happened was is I basically found that it was becoming more and more of a waste of time to have to keep transferring files back and forth between the two computers.

So it was with that in mind that I downloaded and installed some of the remote access packages that I found online. I'll get to the ones that I think are the absolute best in the second, but first I just wanted to give you an idea of how these things work.

So, like I said, here I was all ready to be completely frustrated because this plug-in or that update or the other pre-requisite software wasn't installed properly and the installation of my remote access software wasn't going to work as it should.

I could not have been more wrong. I am not kidding when I tell you that this was one of the first times I had ever truly been blown away by what a piece of software could do.

I would say it took probably about 10 minutes before I was completely set up, logged in, and -- I am NOT kidding you -- controlling my desktop computer from my laptop. Now, I want to be clear about this -- I'm not talking about "sort of" or "virtually" being able to get to files on my main computer. I'm talking about literally controlling that computer, and everything about it, remotely.

I'm pretty lucky because, as I said, I do get to work from home, so in a true emergency if I really ever needed to get back into my office to get to my computer I certainly could (my son would have just had to miss a few minutes of sleep that night). But for people who don't have it as good as I do -- who live 15 minutes or half an hour or a full hour away from their office -- I can see how this kind of program could be an absolute lifesaver. Not to mention a relationship saver if your significant other doesn't like your workaholic tendencies.

All in all I do have to say that remote access software in general is some of the most impressive stuff I've come across in recent years (the other being voice-recognition dictation software -- but that's for another article; you wouldn't believe this stuff!) and it definitely does work as advertised, as long as you get a quality package.

On the Registry Editor window, choose HKEY_CURRENT_USER, click Control Panel and choose Desktop. Find the MenuShowDelay on the list at right and right click on it. Choose modify, and change the data value. The data value is set to 400 by default. You can change it to zero, which is the fastest setting but it might cause problems. You can try using a number from 150 to 200 for best results.

Introduction to Outlook 2007 - Design and Use Electronic Business Cards

The exchange of business cards is a time-honored ritual in the world of business. Microsoft chose to honor that common practice by adding electronic business cards to Outlook 2007. This brings them in line with most other modern email and contact management products.. These cards, created using the industry standard vCard (.vcf) format, not only look good on the screen, but can be exchanged easily with most any other modern email or contact management program.

That said, please be aware that while Outlook makes it easy to work with electronic business cards, designing quality cards is a whole different story, and the province of the corporate marketing folks. This puts the art of designing quality electronic business cards outside the scope of this article. So we'll talk only about how you create and use electronic business cards. How to Create an Electronic Business Card

Whenever you create a contact, Outlook automatically creates a very basic electronic business card to go with it. These cards are nothing more than lists of the basic information you entered for that contact, such as their name and address, along with whatever picture, if any, you have assigned to that contact. The procedure that follows is a very basic set of instructions for creating fancier cards to that replace these basic default cards.

To design a better electronic business card for any given contact, follow this procedure:

  1. Open the contact you're going to design a new card for. The current electronic business card for this contact appears on the right side of the contact window.
  2. Right-click the current version of the card, then click Edit Business Card. This opens the Edit Business Card dialog box.
  3. You'll see numerous options and controls for editing the business card. Microsoft really made our lives easier here. They've included an image of the contact's card that changes as you make changes to the controls in this dialog box. That means you can see the results of each change right away. That also means you can undo changes you don't like and allows you to freely experiment with all the design options.
  4. Once you have selected and formatted the fields you want to appear on the card, move over to the top of the Card Design section and work your way down. Experiment with the settings to find a design you like, or follow the directions from corporate to give your card the approved look. To include an image other than the photo associated with the contact, click the Image button and insert it. Click Background to apply a background color to the card.
  5. Repeat steps 3 and 4 as many times as necessary to get a design you like. Click OK when you're done designing.

Using Your Own Electronic Business Card

Your new business card design will now be visible in Business Card view and whenever you attach it to a message you're working on. To attach the card to a message you're writing, first position the cursor in the message at the location where you want the business card to appear. Then click Insert Business Card in the Include section of the ribbon while you're editing the message. The card appears in the body of the message at the location specified by the cursor. The card is also attached to the message in .VCF format so the recipient can easily save it.

A Little More Than the Average User Knows About MS Office Toolbars

To show or hide a toolbar, do this easily with the menu option View.?When the sub-menu appears, choose Toolbars.?This will display a list of all toolbars available in the application open.?Toolbars that have checks next to them currently display.?To hide or show a toolbar, merely select it from the list in order to check or uncheck it.?Another method to quickly show/hide a toolbar is to right-click on any open toolbar, including the menu bar to see the list of available toolbars.?With either method, the selected toolbar can appear as floating or docked located wherever it was when it was previously used.

When a toolbar is visible, it can be moved to become a docked or floating toolbar to match the user's preference.?To move a docked toolbar, click and hold on the move handle (little dashed lines) on the left end of toolbar and then drag the toolbar to a new location.?Locations can be docked at the top, side, or bottom of the application window or floating anywhere within the window.?To quickly change a toolbar from floating to docked, click and hold on the title bar (blue area at top) of that tool bar and then drag the toolbar to where it will become docked.?

A docked toolbar may be showing in the window but all the icons on it do not show.?This is because several toolbars may be nested on the same a row or at the side so that more screen area for working is visible.?If multiple toolbars are nested in the same area, the toolbars may be compressed so only the first part of each toolbar is visible.?If the toolbar has more options available, it will have a drop-down at the end of that toolbar for accessing the other options.?Click on the drop-down indicator arrow (points down or left depending on where toolbar is docked) to view the rest of the toolbar.?For changing to/from nested toolbars, merely move the desired toolbars until they show up in the new location and display as preferred.

If an unfamiliar toolbar is displayed it could be confusing since there are so many icons on the various toolbars other than the menu bar.?If it is unknown what an icon button is used for, then using the mouse, place the pointer on the toolbar icon in question but do not click on it.?Wait about a second and a little tip box will pop up under the icon saying what function it is used for.?This is especially helpful on those toolbars where there are only subtle differences in the icon images.?Seeing a text description of what the icon does could prevent users from clicking on the wrong one and becoming even more confused or frustrated.?If a tip does not appear, turn it on from the Tools menu, using Options, View tab to check to "ScreenTips" under Show.

An unfamiliar toolbar could also mean the toolbar was custom created by an advanced user.?Advanced users of Microsoft Office applications can create custom toolbars.?These user-specific toolbars can include already available application or may have buttons the user created with macros.?Both the custom toolbar and macro options are complicated enough to involve multiple steps so it is not recommended that anyone other than an advanced user try to create a custom toolbar.?Users desiring a custom toolbar should consult the application specific help on how to create "custom toolbar" or "macros."?

How to Fix Your NTLDR Missing Errors in Windows XP

This is a common start up error that appeared on the screen while booting the computer running on a Windows Platform. This error may occur due to number of reason. There are number of article on computer support websites and other online computer support forums.

Many times this error is caused when the computer is attempting to boot from a non-bootable floppy disk or CD-ROM. First verify that no floppy diskette is in the computer, unless you are attempting to boot from a diskette. If you are attempting to boot from a floppy diskette and are receiving this error message it is likely that the diskette does not have all the necessary files and/or is corrupt. If you are attempting to install Windows XP or Windows 2000 and are receiving this error message as the computer is booting verify that your computer BIOS has the proper boot settings. For example, if you are attempting to run the install from the CD-ROM make sure the CD-ROM is the first boot device, and not the hard disk drive.

This error has also been known to occur when a memory stick is in a card reader and the computer is attempting to boot from it. If you have any type of card reader or flash reader make sure that no memory stick is inside the computer. Verify that your computer hard disk drive is properly setup in the BIOS / CMOS setup. Improper settings can cause this error. Screen shots are available for different BIOS on various computer support websites and other online computer support forums.

Another cause for this problem might be the Corrupt NTLDR and/or NTDETECT.COM file. If your computer is using Microsoft Windows 2000 and you are encountering the NTLDR error. Create the boot.ini file on the floppy diskette drive. Copy the NTLDR and NTDETECT.COM files from another computer using the same Operating System. Both of these files are located in the root directory of the primary hard disk drive. For example, C:NTLDR and C:NTDETECT.COM should be the locations of these files on many computers. Please keep in mind that these files are hidden system files. Once these files have been copied to a floppy diskette reboot the computer and copy the NTLDR and NTDETECT.COM files to the root directory of the primary hard disk drive. Example of steps to be performed for using this command with the floppy disk drive is available on Microsoft online computer help forums.

Also in some of the online computer help forum it is clearly mentioned that this problem might occurred due to Misconfiguration with the boot.ini file. For this we have to edit the boot.ini on the root directory of the hard disk drive and verify that it is pointing to the correct location of your Windows Operating System and that the partitions are properly defined.

If you are getting this error message while you are attempting to upgrade to Windows 2000 or Windows XP from Windows 95, Windows 98, or Windows ME running FAT32 we have to use the System Transferred command using the floppy disk and once it is done we can reboot the system. If you are attempting to add a new hard disk drive to the computer make sure that drive is a blank drive. Adding a new hard disk drive to a computer that already has Windows installed on it may cause the NTLDR error to occur. If you are unsure if the new drive is blank or not try booting from a bootable diskette and format the new hard disk drive.

It's possible your computer's hard disk drive may have a corrupt boot sector and/or master boot record. These can be repaired through the Microsoft Windows Recovery console by running the fix boot and fixmbr commands. If you have tried each of the above recommendations that apply to your situation and you continue to experience this issue it is possible you may have a seriously corrupted version of Microsoft Windows. Therefore we would recommend you reinstall Microsoft Windows 2000 and Windows XP. If you are encountering this issue during your setup you may wish to completely erase your computer hard disk drive and all of its existing data and then install Microsoft Windows 2000 / Windows XP. This issue has been known to be caused by a loose or fault IDE/EIDE cable. If the above recommendation does not resolve your issue and your computer hard disk drive is using an IDE or EIDE interface. Verify the computer hard disk drive cable is firmly connected by disconnected and reconnecting the cable.

If the issue continues it is also a possibility that the computer has a faulty cable, contact any Onsite computer repair service that can try replacing the hard disk drive cable with another cable and/or a new cable.
